This document sets out the Terms & Conditions that apply to all bookings made with The Brag Route (“the Company”, “we”, “us”). By making a booking, paying the booking amount, or confirming a reservation through any channel (website, WhatsApp, email, or in person), the traveller (“you”, “the traveller”, “the guest”) agrees to be bound by these Terms.

1Booking & Payment Policy

  • A booking amount of ₹5,000 per person is required to confirm a reservation for group trip.
  • The remaining balance must be paid 15 days prior to the trip departure date.
  • Failure to complete payment within the stipulated time may result in automatic cancellation of the booking without prior notice.
  • All quoted prices are per person on double-occupancy accommodation unless stated otherwise, and are inclusive of applicable taxes at the prevailing rate on the date of booking.
  • In the event of a change in an applicable tax rate or other statutory levy between the date of booking and the date of travel, the difference shall be payable by the traveller.
  • Accepted payment modes: Bank Transfer and UPI — details will be shared at the time of booking.
  • A minimum of 06 confirmed travellers is required for a group departure to proceed as scheduled; see Section 3 for what happens if this minimum is not met.

Custom and private trips are quoted individually. For those bookings the booking amount, balance date and payment mode are stated in your written quote, and that quote governs alongside these Terms.

2Cancellation by the Traveller

If you wish to cancel your booking, the following cancellation charges will apply, calculated from the scheduled departure date:

Cancellation window 15 days or more before departure
Charge applicable Booking amount (₹5,000/person) is non-refundable. Any balance paid beyond this is refunded.
Cancellation window 7 to 14 days before departure
Charge applicable 50% of the total trip cost is charged as cancellation fee.
Cancellation window Less than 7 days before departure
Charge applicable 100% of the total trip cost is charged. No refund applicable.
Cancellation window No-show or cancellation after trip commencement
Charge applicable No refund will be provided.

All cancellation requests must be submitted in writing (email or WhatsApp) to be considered official. The date of the written request, not a verbal notice, determines which cancellation slab applies.

3Cancellation by the Company

In the unlikely event that we cancel a trip due to insufficient participants (fewer than the minimum group size stated in Section 1), adverse weather conditions, natural calamities, government restrictions, or any other unforeseen circumstance, travellers will have the option to:

  • Transfer their booking to another available departure, subject to availability, or
  • Receive a refund of the amount paid after deducting any non-recoverable third-party charges, if applicable.

The Company shall not be responsible for any flight tickets, train tickets, visa charges, hotel bookings, or other personal expenses independently incurred by the traveller in connection with a cancelled trip.

Where a trip is cancelled by the Company for reasons other than force majeure (see Section 19), a full refund of the amount paid to the Company will be issued, in line with the timeline in Section 4.

4Refund Processing

  • Where a refund is due under this policy, it will be processed within 7 to 10 business days of the cancellation being confirmed in writing.
  • Refunds will be issued to the original mode of payment used at the time of booking, wherever technically possible.
  • Any bank, payment gateway, or transaction charges levied on the original payment or the refund may be deducted from the refunded amount.
  • Refund timelines may vary slightly for payments made via third-party payment links or corporate accounts and will be communicated at the time of processing.

5Rescheduling Policy

  • Rescheduling requests must be made at least 15 days before the departure date.
  • All rescheduling requests are subject to availability on the new departure date.
  • Rescheduling within 7 days of departure may not be possible.
  • Any price difference applicable for the new departure date shall be borne by the traveller.
  • A trip may be rescheduled only once free of an administrative fee; subsequent rescheduling requests may attract a fee, at the Company's discretion.

6Itinerary & Weather Policy

Mountain travel is subject to weather conditions and operational factors beyond our control.

The itinerary may be modified due to snowfall, rainfall, landslides, road closures, traffic conditions, government regulations, security advisories, or any unforeseen circumstances.

While every effort will be made to cover all planned sightseeing, no refund shall be provided for any missed activity or destination due to such circumstances. Where feasible, an alternative activity of comparable value will be offered in place of a missed one.

For winter trips specifically: snowfall cannot be guaranteed in any month or week, road access between Srinagar and Gulmarg can change at short notice, and gondola and chairlift operation is weather-dependent and decided locally on the day.

7Hotel & Accommodation Policy

  • Hotel check-in and check-out timings are governed by the respective hotel's policies.
  • Early check-in and late check-out are subject to availability and may attract additional charges, payable directly to the hotel unless otherwise agreed in writing.
  • Triple-sharing accommodation may be provided using an extra mattress wherever applicable; this is offered at additional cost as per hotel pricing.
  • Room allocation within a group (twin/triple sharing, roommate pairing) is coordinated based on information provided by travellers prior to departure.

Hotels are confirmed by category in your quote and remain subject to availability at the time of confirmation. Where a named property cannot be held, an equivalent in the same category is offered.

8Transportation Policy

  • Transportation will be provided as per the confirmed itinerary.
  • The type of vehicle used will depend on the final group size.
  • Air conditioning may be switched off while driving through hilly regions, as per local regulations and vehicle requirements.
  • Requests for route changes or additional sightseeing during the trip may not be accommodated, and any that are approved on-ground may involve an additional charge borne by the requesting traveller(s).

9Adventure Activities

Activities such as Gondola rides, pony rides, ATV rides, rafting, skiing, snow activities, and similar experiences are subject to weather conditions, operational status, and local authority permissions, and may be withdrawn or substituted without prior notice.

Charges for optional activities are not included unless specifically mentioned in the package inclusions.

Adventure and high-altitude activities carry inherent risk. Participation is at the traveller's own discretion and risk, and travellers should assess their own fitness and comfort level before opting in (see also Section 12, Medical & Fitness).

Skiing and snowboarding are covered additionally in Section 23, which sets out the specific risks, instruction rules and terrain limits that apply to snow-sport trips.

10Special Permits & Restricted Areas

Certain destinations covered in our itineraries fall within Protected or Restricted Areas near international borders, and are subject to Inner Line Permit (ILP) or Protected Area Permit (PAP) requirements under Indian law.

  • Indian nationals typically require a valid government photo ID and, in some cases, a locally issued permit arranged by the Company.
  • Non-Indian nationals (including Overseas Citizens of India) may require advance permission from the relevant District Magistrate's office or Ministry of Home Affairs, and in some cases may not be permitted entry at all. Travellers in this category must inform the Company at the time of booking, well in advance of departure.
  • The Company will assist with locally arranged permits where possible, but cannot guarantee approval, as these are issued at the discretion of local authorities.
  • Any trip modification, denial of entry, or additional cost arising from permit requirements or refusal is not the Company's responsibility and is not eligible for a refund under Section 2.

11Travel Insurance

Travel insurance is not included in the package unless specifically mentioned in writing at the time of booking.

We strongly recommend that all travellers purchase comprehensive travel insurance covering trip cancellation, medical emergencies, accidents, baggage loss, and other unforeseen circumstances, before departure.

For ski and snowboard trips, check that the policy specifically covers winter sports, including instruction, and covers medical evacuation. Many standard policies exclude both.

12Medical & Fitness

  • Travellers must ensure that they are medically fit to undertake the trip, including any high-altitude or physically demanding segments.
  • Any pre-existing medical condition (cardiac, respiratory, mobility-related, or otherwise) should be disclosed to the Company at the time of booking.
  • Guests are advised to carry sufficient personal medication for the duration of the trip, along with a basic first-aid kit.
  • The Company reserves the right to request that a traveller sit out a specific activity or segment of the trip on medical or safety grounds, without entitlement to a refund for that portion.

Please do not send medical details through the public enquiry form. If you proceed after receiving a quote, we will send a private booking form for them.

13Minors & Travelling with Children

  • Travellers under 18 years of age must be accompanied by a parent or legal guardian, or by another adult carrying written, signed consent from a parent/legal guardian, for the full duration of the trip.
  • The accompanying adult is solely responsible for the supervision, safety, and conduct of any minor travelling with them throughout the trip, including during adventure activities.
  • Age-appropriate restrictions may apply to certain adventure activities (rafting, ATV rides, high-altitude treks) as determined by the local activity operator, and are outside the Company's control.
  • Pricing and inclusions for minors, where applicable, will be confirmed at the time of booking.

14Required Documents

  • All travellers must carry a valid, original Government-issued photo identification throughout the trip (Aadhaar, Passport, Voter ID, or Driving Licence).
  • Non-Indian nationals must carry their passport and any applicable visa or permit documentation at all times (see Section 10).
  • Failure to produce valid identification may result in denial of services where required by hotels, transport providers, or local authorities, and will not be treated as a Company-caused service failure.

15Code of Conduct

To ensure a safe and enjoyable experience for everyone, all travellers are expected to:

  • Respect fellow travellers, local communities, and the environment.
  • Follow the instructions of the Tour Manager / trip lead at all times.
  • Refrain from any illegal, abusive, violent, or disruptive behaviour.
  • Avoid carrying or consuming prohibited substances.

The Company reserves the right to remove any traveller from the trip without refund if their behaviour adversely affects the safety, comfort, or experience of the group, local communities, or Company staff.

17Privacy & Data Protection

Personal information collected at the time of booking (name, contact details, ID documents, medical disclosures, payment information) is used solely for the purpose of processing the booking, arranging permits and accommodation, and ensuring traveller safety.

The Company does not sell traveller data to third parties. Information may be shared with hotels, transport providers, or government authorities strictly where necessary to deliver the booked services or comply with legal requirements.

We retain enquiry and booking records for as long as needed to operate the trip, meet accounting and tax obligations and handle any later dispute. You can ask us what we hold about you, ask for corrections, or ask us to delete information we are not legally required to keep.

Payment is processed by a payment provider. Card details are not stored on this website.

The full Privacy Policy is published on its own page at thebragroute.com/privacy.

18Liability

The Company acts only as a facilitator for transportation, accommodation, and other travel-related services provided by independent third parties.

We shall not be liable for any loss, theft, injury, accident, illness, delay, or damage to personal belongings during the trip, except where such loss or injury arises directly from the Company's own negligence.

Travellers are responsible for safeguarding their own valuables throughout the journey.

19Force Majeure

The Company shall not be held liable for any delay, cancellation, itinerary modification, or additional expenses arising due to events beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Landslides
  • Heavy snowfall
  • Floods
  • Political unrest
  • Curfews
  • Government restrictions
  • Road closures
  • Flight delays or cancellations
  • Any other force majeure event

In those circumstances we will try to provide an equivalent alternative or reschedule. Where costs have already been committed to suppliers and cannot be recovered, those amounts cannot be refunded.

20Governing Law & Jurisdiction

These Terms & Conditions shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with a booking shall be subject to the exclusive jurisdiction of the courts of Srinagar, Jammu & Kashmir, regardless of the traveller's place of residence or the trip destination.

21Grievance Redressal

  • Any concern or complaint regarding the trip should first be raised with the Tour Manager on-ground, so it can be addressed in real time wherever possible.
  • Unresolved concerns should be submitted in writing to bookings@thebragroute.com within 7 days of the trip's completion.
  • The Company will acknowledge all written complaints within 3 business days and aim to provide a substantive response within 14 business days.

22Amendments to This Policy

The Company reserves the right to amend these Terms & Conditions at any time. The version in effect on the date a booking is confirmed shall govern that booking. The “Last Updated” date at the top of this page indicates when this document was most recently revised.

23Skiing & Snowboarding Risk

Skiing and snowboarding carry an inherent risk of injury, including serious injury, even with instruction and appropriate equipment. By participating you accept that risk.

You must follow the instructions of your instructor and any local safety directions, and stay within the terrain agreed for your ability level. Helmets are strongly recommended for every participant at every level, and wrist protection is recommended for first-time snowboarders.

Advanced, off-piste and backcountry riding is not offered as a confirmed inclusion. Any such request is assessed individually against conditions, guide qualification and local safety requirements, and is only confirmed in writing where those can be satisfied.

  • You must disclose any medical or fitness condition affecting safe participation before the activity begins.
  • Instructors may reduce, pause or end a session for safety reasons, including weather and visibility, without entitlement to a refund for that portion.
  • Participation may be refused where equipment is misused or safety directions are ignored.
  • Lesson slots and instructor allocation depend on instructor availability in your dates and are confirmed in your quote, not guaranteed by this page.

24Equipment Damage or Loss

Rented equipment remains the property of the rental supplier. Damage, loss or late return is charged by that supplier according to their terms, and those charges are payable by the participant, not absorbed by the Company.

Check equipment at collection and report any existing damage before leaving the rental point. Sizing details you give us are used to reserve equipment; where those details are inaccurate, a re-fit may not be possible at short notice.

25Website, Cookies & Analytics

If this website uses cookies or analytics beyond what is strictly necessary to make pages work, a notice will be displayed and your consent will be requested before those cookies are set. Your choice can be changed at any time.

Essential cookies needed for the website to function, such as remembering that you dismissed a notice, are set without consent because the site cannot work properly without them.

An enquiry submitted through this website is a request, not a confirmed booking. Nothing is confirmed until availability has been verified, a written quote issued, your acceptance received and the booking amount paid.

Important

By confirming your booking with The Brag Route — whether by paying the booking amount, replying in confirmation, or accepting a booking link — you acknowledge that you have read, understood, and agreed to all the Terms, Conditions, Cancellation, and Refund Policies set out in this document.

These Terms are governed by the laws of India. If any provision here conflicts with applicable Indian law, that law prevails and the remaining provisions continue to apply.

Something here not clear?

Ask before you book rather than after. We would rather explain a clause now than argue about it later.
